Pharmacy Policies

General Pharmacy Policies
All pharmacy patrons are required to get a number from the numbering machine located in between windows 3 & 4 for service. Priority service is given to the Active Duty in Uniform Category. Patrons eligible to use this category are: Active Duty personnel in proper uniform of the day, patients that were seen in the Emergency Room, and patients who are being discharged from the Ambulatory Procedures Unit, Same Day Surgery, or have been directed to by Pharmacy personnel.

Prescription for non-controlled medications must be filled within 365 days of the date they were written. These prescriptions may be written for up to a three month supply with refills not to exceed 1 year. Be aware that refills on prescriptions will only be honored for the duration of the prescription. An example would be; A prescription for Atenolol 50mg tablets written 10 March 2002, was filled on 22 December 2002. Because of the 365 day rule, this actually means the prescription can be only refilled until 10 March 2003.

Prescriptions for controlled medications must be filled within six months of the date they were written. These prescriptions (excluding pain medications) may be written for up to a one-month supply with refills not to exceed six months. The same rule applies to controlled prescriptions as non-controlled, for how long refills can be requested, if ordered by provider.

Prescriptions for narcotics must be filled within seven days of the date they were written. These prescriptions, along with controlled pain medications, may only be written for a 30-dose supply unless specified on the prescription that it is for chronic pain or oncology.

General Refill Policies
All refills requested by 1:00 p.m. will be ready for pick-up after 1:00 p.m. the following day. Refills requested after 1:00 p.m. will be ready for pick-up in two days. Refills that are requested for pick-up at sites other than the Naval Hospital will take slightly longer due to courier schedules. All refills requested to be picked-up at the Naval Hospital are sent to the Drive-Thru Refill Satellite and are held for a maximum of 10 days. There are four methods of requesting refills: mail-in, drop-off, call-in, and Internet. Calling in your refills is the preferred method.

Mail-in Refill Request
Refill request postcards are available at any of the above listed locations. Please fill out the form completely. Refills for different people in the same family can be requested on the same card. Please attach proper postage and allow 5-7 working days for your refills to be processed. Indicate on your request form where you want to pick-up your refill.

Drop-off Refill Requests
Drop-off request forms are available at the same counter as the mail-in postcards. Drop-off requests require the same information as the mail-in postcards plus the sponsor’s full social security number. Completed request forms may be dropped off at the pharmacy or the Drive-Thru Refill Satellite. Indicate on your request form where you want to pick-up your refill.

Phone-in Refill Requests
There are two methods of requesting refills using the automated system. You may choose to enter your refill information using the keys on your touch-tone telephone or leave a voice mail message. We ask that you only use the voice mail option if you don’t have a touch-tone telephone. If you do use the voice mail system, please leave the following information on your recording after the beep:

  • Patient’s name
  • Sponsor’s full social security number
  • A telephone number where you can be reached
  • Location you wish to pick-up your refills
  • Prescription numbers that you want refilled
  • Names of the medications that you want refilled

Helpful Suggestions:
Talk loudly when using the voice mail system. The system will hang up after about 30 seconds if it does not hear anything above a certain level over background noise. The system can not differentiate between your voice and other sounds.

Do not take too long to push a button, after the touch-tone system prompts you to do so. The touch-tone system will allow about five seconds to begin entering a response to one of its prompts. It is advisable to have all of your information ready prior to calling in.

Choose the correct pick-up location. Once you have entered a refill site into the system, the computer will not allow you to change it. You have to hang up and start over again. Once a refill has been requested, you can not call back later to change pick-up sites.

Write down all of the prescription numbers that you will need refilled.

Over-the-counter Program
This program is offered to all DoD beneficiaries and can be used once monthly. The program is designed to help customers treat minor ailments, without having to see a provider. To obtain services, you must go to the refill annex during normal working hours. The forms are available in a box in the drive as you approach the refill pick-up station. Fill out the form as applicable and turn in at the window for service. A maximum of three items can be issued at the time of visit. Multiple forms may be submitted if more than one eligible family member needs to use the service. There are two links posted on this site: "OTC Request" and "OTC Selection Guideline." The "OTC Request" link is to the form for requesting medication. The "OTC Selection Guideline" will inform you of the criteria for dispensing and what medication is available.
